IASA PRIVACY POLICY AND PERSONAL DATA MANAGEMENT
I. General information
1. This policy applies to the web service of the International American Studies Association provided at http://www.iasa-world.org.
2. The Website Operator and the Personal Data Administrator is the International America Studies Association, registered in Spain, Registro Nacional de Asociaciones, Sección 1a, Número Nacional: 617908, Número CIF: G88439732, domiciled at Calle Trinidad No. 1, C.P. 2881, Alcalá de Henares, Madrid, Spain, with the following address for correspondence: International American Studies Association Secretary, Hacettepe Üniversitesi, Edebiyat Fakültesi, Amerikan Kültürü ve Edebiyatı Bölümü, Beytepe Yerleşkesi, 06800 Ankara, TÜRKİYE/Turkey.

4. The Operator is the Administrator of your personal data provided voluntarily and with your consent by means of the Website’s functionalities.
5. Using the IASA Web Service, you consent to the use the personal data you voluntarily provide for the following purposes:
— Operating the forum and its entries
— Handling submission forms and membership applications
— Handling membership fees and donations;
— Handling election polls
— Handling voting polls
6) The website performs obtains information about users and their behavior in the following ways:
– The User voluntarily enters data in electronic forms implemented in the IASA web services.
– With your consent, the system saves “cookies” on end devices.
II. User Comments
1. When you leave comments, vote, or fill in forms on the site, we collect the data shown in the forms, your IP address, and your browser user signature to help spam detection.
2. An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. Gravatar’s privacy policy is available here: https://automattic.com/privacy/. Once your comment is approved, your profile picture will become publicly visible in the context of your comment.
4. Providing personal data is voluntary and consensual, but necessary to for the purpose of the safe, phishing and spam-free, operation of the Website.
III. Information provided in online forms
1. The website collects information provided voluntarily by the user, including personal data, if the user chooses to enter them.
2. The website may save information about connection parameters (time stamp, IP address).
3. In some cases, the website may save information that makes it easier to link the data in the form with the e-mail address of the user completing the form. In this case, the user’s e-mail address appears inside the URL of the page containing the form.
4. The data provided in the form is processed for the purpose keyed to the function of a specific form, e.g. to process a service, register services, vote, etc. In each case, the context and description of the form will clearly inform the user about the purpose of the form.
IV. Administrator Logs
1. Information about user behavior on the website may be subject to logging. This data is used to administer the website and to prevent illegal actions (spamming, phishing, hacking, etc)
V. Media
1. If you are a registered user and upload images to the site, you should avoid uploading images with EXIF location tags. Visitors to the site can download and read full location data from images on the site.
VI. Embedded content from other sites
1. Articles on this site may contain embedded content (e.g. videos, images, articles, social media feeds, etc.). Embedded content from other websites behaves in the same way as if the user visited the source website directly.
2. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to the source website.
3. The user is solely responsible for his or her interaction with embedded content; the International American Studies Association is not responsible for the personal data that users provide via embedded content in their posts.
VII. Selected data protection methods used by the Operator
1. The log-in locations and the process of entering the user’s personal data are protected in the transmission layer (SSL certificate). Owing to this measure, personal data and login details entered to the website are encrypted on the user’s computer and can only be read on the target server.
2. The Operator periodically changes the administrative passwords.
3. In order to protect data, the Operator regularly makes backup copies.
4. An important element of data protection is the regular updating of all software used by the Operator to process personal data, which in particular means regular updates of programming components.
VIII. Hosting
1. The website is hosted (and technically maintained) on the Operator’s servers provided by the cyberfolks.pl hosting company.
IX. Your rights and additional information about how your data is used
1. In some situations, the Administrator has the right to transfer your personal data to other parties if it is necessary to perform contracts concluded with you, to fulfill legal obligations imposed on the Administrator, or to warrant electronic signature authentication (e.g. in the case of elections or voting). This applies to the following target groups:
– hosting company on the basis of personal data processing agreement
– authorized administrators and IASA officers, who use data to achieve the purpose of the website
2. Your personal data processed by the Administrator will never be retained longer than is necessary to perform actions specified in separate regulations (e.g. membership fee or donations-related accounting).
3. Data necessary for communications and statistics will not be stored for a period longer than 3 years.
4. You have the right to request from the Administrator:
– access to personal data relating to you,
– rectifications thereof,
– deletion,
– processing restrictions,
– restrictions on data transfer.
5. You have the right to object to the processing of personal data for the purposes of legitimate actions pursued by the Administrator, including profiling.
6. However, the right to object will not be possible to exercise if there are valid legitimate grounds for data processing, related to higher rights and freedoms, and in particular to making, pursuing, or defending claims.
7. You may lodge a complaint against the Administrator’s actions to the President of the Office for Personal Data Protection, ul. Stawki 2, 00-193 Warsaw, Poland.
8. Activities involving automated decision-making, including profiling, may be undertaken in relation to you in order to provide services under the concluded contract and for the purpose of automated communications between the Administrator and the registered users of the services.
9. In accordance with the Personal Data Protection Regulations, your personal data will not be transferred from or to countries outside the European Union.
X. Important statistical techniques and traffic analysis
1. The operator uses statistical analysis of website traffic via Google Analytics (Google Inc. based in the USA). The operator does not transfer personal data to the operator of this service: only anonymized information is transferred.
2. The service is based on the use of cookies on the user’s end device. In terms of information about user preferences collected by the Google advertising network, the user can view and edit information resulting from cookies using the tool: https://www.google.com/ads/preferences/
XI. Information about cookies
1. The website uses cookies.
2. Cookies are IT data, in particular text files, which are stored on the Website user’s end device, and are intended to facilitate the user’s interaction with the various subsections of the Web Service. Cookies usually contain the name of the website they come from, their storage time on the end device and a unique number.
3. The entity that places cookies on the Website user’s end device and obtains access to them is the Website operator.
4. Cookies are used for the following purposes:
a) the upkeep of the Website user’s session (after logging in), thanks to which the user does not have to re-enter the login and password on each subpage of the Website;
b) achieving the objectives set out above in the “Important statistical techniques” section;
5. The Website uses two basic types of cookies: “session cookies” and “permanent cookies”. “Session” cookies are temporary files that are stored on the User’s end device until logging out, leaving the website or turning off the software (web browser). “Permanent” cookies are stored on the User’s end device for the time specified in the cookie parameters or until they are deleted by the User.

1. If you do not wish to receive cookies, you can change your browser settings. The user must be aware that disabling cookies necessary for authentication processes, security, or the registration of user preferences, may make it difficult, and in extreme cases may prevent, to make full use of the system’s functionalities.
